About the Role

An opportunity has arisen to join the team here at Matalan as an HR Co-ordinator.  As an HR Co-ordinator you will assist the HRBP and HR Advisor(s) in providing a proactive, professional and comprehensive HR service to the Head Office functions.

The role will combine general administrative duties with project work aimed at continuously improving the team’s service delivery to its internal customers.

  • Provide a speedy and efficient service to the HRBP, HR Advisor(s) and Head of HR in response to all HR queries and administrative tasks on a daily, weekly and monthly basis.
  • Maintain all tracking databases including disciplinary, flexible working, long term sick, recruitment, leavers etc in conjunction with the HR Administrator.
  • Produce standard payroll letters, keeping the HRBP/Advisor(s) fully informed of all changes.
  • Maintain structure charts in line with various structural changes.
  • Manage the flexible working and absence management processes, including advising management, producing letters and facilitating meetings. Keeping the HRBP/Advisor(s) fully informed at all times.
  • Provide administrative support to Management and their teams to ensure that paperwork relating to disciplinary matters is produced in a timely and accurate manner.  This will include invite letters, outcome letters and minutes of meetings.
  • Provide advice and support to Managers and their teams at investigatory hearings i.e. disciplinary and grievance.
  • Provide and maintain on a monthly basis records including absence, disciplinaries, probationary reviews, turnover/retention and recruitment stats for monthly Board Report.
  • Maintain accurate personnel records on paper and computerised systems.
  • Assist the HRBP/Advisor(s) in the management of short term and long term sickness absence
  • To undertake ad hoc project work as and required.
  • Assist the Head Office HR Manager in the management of benefits including company cars, healthcare and childcare vouchers.
  • Maintain regular leavers statistics for B&M and head office roles.
  • Advise on and conduct probationary review meetings including extensions and dismissals.
  • Conduct maternity risk assessments across the business as necessary.
  • Arrange all exit interviews and conduct interviews for employees up to grade MT4.
  • Monitor and maintain the leavers process with regards to holiday information, returning company property and leavers forms.
  • Maintenance of all personnel files.

  • Solid administration experience (E)
  • Experience of working in a busy HR environment (E)
  • Strong customer service skills (E)
  • Strong IT skills, in particular Word, Excel and PowerPoint (E)
  • Experience of recruitment and selection, disciplinary and grievance (D)
  • Working towards CIPD qualification (D)
